Job Description


Our family owned and operated company needs a reliable, organized Office Assistant to assist with the day-to-day administrative aspects of managing our manufactured home community in the Chicago suburbs (Oak Lawn, IL).  The successful applicant will have a positive attitude, a desire to work as efficiently as possible, be organized and have excellent client-facing communication skills (being bilingual is a plus).  This job would be approximately 20-30 hours per week, including weekend work.  We’re looking for someone who can follow instructions, work efficiently and effectively with little or no supervision and who can manage multiple tasks at once.

The following is meant to cover the majority of the routine daily tasks to be performed – these items include, but are not limited to:

  • Maintain the front desk area and handle initial greeting of residents and potential home buyers who visit the office.
  • Answer telephone calls and follow our phone call script with potential home buyers.
  • Completion of Cook County Sales Tax reports and submitting to the corporate office.
  • Monitoring of expenses and submitting weekly receipts and invoices to the corporate office.
  • Maintaining the petty cash and submitting receipts & ledger to the corporate office for reimbursement.
  • Collection of rent, using the property management software system.
  • Taking deposits to bank.
  • Use of property management software system for entering the contact information for prospective home buyers.
  • Maintaining and updating the prospective home buyers’ information in the property management system during the sales process.
  • Entering of new resident applications into the property management background check system.
  • Handling the reservation and move in process for new residents in the property management system.
  • Handling of the pet applications and vehicle parking stickers to ensure resident compliance and maintaining files accordingly.
  • Prepare lease and sales documents.
  • Maintain filing and storage systems in the office.
  • Understand and abide by all Fair Housing guidelines.
  • General assistance and other tasks as delegated by the Community Manager.
