Job Description

Job Purpose


  • Matching invoices with proper documents and reconciling any variance with the purchaser or vendor.
  • Verifying that all payments are approved by the proper person that has the approval limit.
  • Coding all invoices to the proper general ledger account.
  • Scanning all documents to the transaction into Accounts Payable.
  • Updating and keeping current certain schedules as assigned, assuring that payables are current and paid timely



Primary Duties & Responsibilities

  • Processing inventory and overhead invoices following the proper approval limits.
  • Verifying sales tax is being paid correctly.
  • Taking the appropriate discount timely.
  • Code to proper chart of accounts code.
  • Month end accruals.
  • Reconcile vendor statements to ensure the account is current, contacting vendor on occasion as needed to keep statements current
  • Obtaining all proper documents to ensure that we following IRS guidelines for year-end 1099’s.
  • Projects as requested by AP Manager



Qualifications & Required Skills

Qualifications include:

  • Education- Diploma
  • Experience- minimum of two year’s in AP
  • Specialized- knowledge Accounts Payable and General accounting.
  • Skills-Data entry, excellent math skills, proficient in using a calculator.
  • Other personal characteristics- Highly organized, The ability to work in a fast pace environment with high volume of invoices while meeting deadlines and taking discounts timely. Detailed oriented, excellent research skills
  • Professional certification- none required



Working Conditions
